Auto-Backup CRM Attachments
A CRM attachment backup needs the file itself and enough information to put it back with the right customer or deal. Exporting a table of record names and file links may leave you without a usable copy when the original file disappears.

Key takeaways
Check attachment coverage separately from the CRM record export.
Save a manifest that connects each backup file to its source record.
Treat a successful restore test as part of the backup job.
List the attachments your CRM exposes, download each permitted file to controlled backup storage, and record its CRM record ID, attachment ID, version and checksum. Recheck for missed files and test a restore. Confirm what the CRM’s own backup includes before building an extra copy.
- Inventory attachments
- Download permitted files
- Verify stored copies
- Reconcile missed changes
- Test a restore
Define exactly what the backup covers
Start with one module, such as deals, and a small approved set of records. List ordinary uploaded files, linked documents, notes attachments and older versions separately. Ask the CRM vendor which of these its export or backup includes.
A linked cloud document may belong to another service. Saving its URL does not copy its contents or its access rules. Record linked items as a separate category and agree a permitted backup route for that source. Do not silently mark them complete.
Save a file manifest beside the backup
The manifest is a plain table that connects stored files to CRM records. Use the CRM’s stable IDs, not a customer name alone. Two customers can share a name, and a record can be renamed.
Give each stored copy a key based on the CRM, module, record ID, attachment ID and version or content hash. Preserve the original filename as metadata. This avoids overwriting two different files named proposal.pdf.
| Manifest field | Why it matters |
|---|---|
| CRM record and attachment IDs | Connect the file to the correct source |
| Original filename, type and size | Identify and check the expected document |
| Source modification time and version | Distinguish changed content |
| Backup location and checksum | Find the copy and verify its bytes |
| Result, attempt time and error | Show which files still need attention |
Use the CRM’s supported file access
CRM APIs differ. Zoho CRM documents a download route for a file attachment associated with a record and explicitly excludes link-type attachments from that route. HubSpot documents temporary signed access for private files. Check your actual account permissions and current API version.
Download into a temporary destination first. After the transfer completes, compare the expected size where available and calculate a checksum. Move the finished file into its final backup location only after the checks pass. A downloaded error page should never count as a saved document.
Keep private files private throughout the transfer. Grant the backup process only the read access and destination access it needs. Keep credentials out of filenames, logs and the manifest. A paid CRM plan or storage service may be required; confirm costs before connecting it.
Example: back up files attached to open deals
In an illustrative trial, a sales team chooses ten test deals. The job lists their attachments and finds twelve file attachments plus two links. It downloads the twelve files, records their hashes and lists the two links for separate handling.
One file fails because access has expired. The receipt reports eleven verified files, one failed file and two links awaiting a decision. It does not report fourteen successful backups. The next run retries the failed file and skips unchanged verified copies.
A reviewer restores one saved proposal to a separate test record or folder and checks that it opens and matches the manifest. That test proves this sample is usable; it does not prove every possible restore will succeed.
Catch changes, duplicates and missed runs
Use events or a periodic scan if the CRM supports them, then run a reconciliation scan to catch missed notifications. Store progress only after a file is verified. Paginate through the full attachment list so the job does not stop after the first page.
Keep earlier versions when the retention plan requires them. Do not automatically mirror a deletion into every backup copy. Agree how authorized deletion requests and retention limits apply to stored copies, and record who owns that process.
If a run fails, alert an accountable person with the record ID, error category and next action. Avoid including private document contents in notifications. Keep the last successful copy while investigating.
Make restore testing part of the handover
Agree the maximum acceptable delay between an attachment arriving and a verified backup. Also agree how quickly a sample file must be retrievable. Measure both during the trial instead of assuming the job schedule proves them.
Automations For Business can help connect a supported CRM export or file API to your chosen storage and build the manifest, checks and failure report. Use the brief below to define scope before sharing access. This attachment workflow is one part of recovery planning, not a full CRM backup.
