Custom Document Automation Templates
A document template needs to work when a customer has a long name, an address spans four lines or an optional section is empty. Custom document automation templates combine approved wording and layout with clear rules for the information that changes. Those rules make the generated document easier to review and maintain.

Key takeaways
Give each field a source, format and missing-value rule.
Test the longest realistic content in the final layout.
Record the template version with every generated document.
Start from an approved document, define every variable field and design optional and repeating sections explicitly. Create a new document from a versioned master, validate the merged content and inspect the final exported file. Test representative edge cases before releasing a template change.
- Approve master wording
- Define fields and rules
- Generate a separate copy
- Check content and layout
- Approve and retain version
Choose one document and its owner
Start with one useful document type, such as an equipment handover sheet. Find the current approved example and ask its owner which parts may change. Separate fixed instructions from values supplied for each handover. Keep decisions about wording with the person responsible for the document.
A template is more than a file containing blanks. It also needs a data specification, conditions for optional sections and a test set. Store these together so a future editor can understand how the document is produced.
Decide whether the output needs to remain editable or be delivered as a PDF. Review both the working document and the exported version when both are used. Fonts, line wrapping and page boundaries can affect the final file even when all values merged correctly.
Define placeholders that have one clear meaning
Use distinctive field names such as {{handover_reference}}, {{recipient_name}} and {{return_date}}. Give each field a source, data type, display format and missing-value rule. Avoid a vague field such as {{date}} when the document contains several different dates.
Google’s Docs API merge guide describes copying a template and replacing placeholder text with supplied values. That supports a separation between a reusable master and each generated document. Your implementation still needs to validate the supplied values and check for unresolved placeholders.
For a missing required field, hold the draft and name the problem. For an optional field, agree whether its label and surrounding space should disappear. An empty phone field should not leave a lonely Phone: label unless the document owner wants that appearance.
| Field | Source | Format | When missing |
|---|---|---|---|
| handover_reference | Approved handover record | Text, preserve zeros | Hold draft |
| recipient_name | Recipient record | Full display name | Hold draft |
| return_date | Agreed return record | Unambiguous written date | Hold if return is required |
| accessory_notes | Handover checklist | Optional paragraph | Remove the whole notes block |
Handle lists and optional sections as layout rules
Worked example: the equipment sheet includes one laptop and several accessories. Each item needs a description, asset code and condition. The template must support a variable number of item rows without overwriting the footer or placing a heading alone at the bottom of a page.
Decide how repeated rows are created in the chosen document system. A simple text replacement operation does not automatically provide a repeating table engine or conditional sections. Implement and test those behaviours explicitly.
Try the template with one item, twelve items and a long item description. Keep an item’s identifying information readable across page breaks. If a return section applies only to loaned equipment, test both loan and permanent-transfer cases. The correct wording must follow the approved record.
Release template changes with a version
Keep the master used for approved documents stable. Make a separate draft for a layout or wording change. Record what changed, who reviewed it and which test examples passed before making the new version available for future runs.
Save the source record reference, template version, generated-file identifier and approval result together. If a person later asks why a document contains particular wording, that record should identify the template that produced it.
A corrected document should be a deliberate revision. Preserve the previously approved output according to the business’s retention policy. Changing the master template must not silently rewrite documents that were already delivered.
Check the exported file as well as the source data
Before review, scan for unresolved placeholders and missing required values. Confirm the document reference matches the source record. Compare the item count and any meaningful total with the input. These checks catch content errors before a reviewer spends time on appearance.
Inspect the final file for clipped text, blank pages, broken tables and headings separated from their content. Include long names, accented characters, multi-line addresses and empty optional sections in the test set. Use realistic anonymised examples rather than filling every field with the same short word.
Google Drive documents export through supported formats, including PDF for compatible document types. Its export operation is a separate step from editing the document. Verify that the resulting file exists, opens and is the version that the reviewer approved.
Prepare a maintainable template with Automations For Business
Automations For Business can help turn an approved document into a reusable template with field checks, conditional sections and a review workflow. Bring an anonymised completed document, the source fields and examples of the variations your team handles.
For the first trial, compare several generated outputs with documents prepared manually from the same records. Track corrections by cause: wrong source data, unclear rules or layout problems. Fix the relevant layer before expanding to more document types.
The document automation service covers the wider workflow. The related quote example shows a complete form-to-document run. Use this template worksheet when the immediate problem is making the master dependable across different records and future changes.
