Document Automation
“Automate our documents” can mean several different things. A team preparing letters needs a different workflow from a team reading supplier PDFs. Start by naming the document task so the solution addresses the work that actually takes time.

Key takeaways
Generation, extraction and routing are separate jobs.
Validate extracted values against business records.
Test layout and access as well as file creation.
Document automation can create files from templates, extract fields from existing files or route documents for review and storage. Identify which job you need first. Each has different inputs, checks and failure cases, even when they form part of the same business process.
- Identify the document task
- Collect representative samples
- Map fields and destinations
- Review uncertain cases
- Verify and record the result
Generate a document from known information
Generation starts with structured information and a template. For example, an approved service record can fill a completion certificate with the customer, date and work reference. The template controls wording and layout while the source record supplies the changing fields.
Test long names, missing optional fields and multi-line addresses. A technically valid file can still be difficult to read or contain an empty label. Keep a template version so the team can explain which wording produced a particular document. Do not overwrite an approved delivered file when generating a correction.
Extract information from an existing document
Extraction starts with a file and produces proposed fields. A supplier delivery note might contain an order number, delivery date and item quantities. The workflow needs to distinguish a readable value from a reliable match to your own records.
In an illustrative example, the extracted order number is PO-731, but the order system contains PO-713. The workflow should flag the mismatch rather than choosing the nearest-looking number. A person checks the source document and the order record. Keep both the proposed value and the corrected value when useful for review.
Scanned images, unusual layouts and handwritten notes need representative tests. Accuracy measured on clean sample PDFs does not establish performance on the files your team actually receives.
Route a document to the right place
Routing uses known rules to assign review or storage. A delivery note may go to the warehouse, while a proposed contract needs a different reviewer. Use a stable case or order reference to select the destination. A filename alone may be ambiguous.
Check permissions at the destination. Moving a sensitive file into a shared folder can widen access unintentionally. Confirm that the intended reviewer can open it and that unrelated users cannot. Record the delivery or review state separately from the file’s existence.
Combine the tasks only where needed
A complete delivery-note workflow may receive the PDF, extract its order reference, ask a person to resolve a mismatch, attach the checked document to the order and prepare a receipt summary. Each step has its own acceptance check. Extraction success does not prove routing success.
Start with one document family and a set of ordinary and difficult examples. Record which errors need a person and which can be corrected through better templates or field rules. Keep the original file available for evidence while applying the business’s retention policy.
Choose a custom document workflow
Automations For Business can connect generation, extraction and review around your existing documents and systems. Bring redacted examples of the files you receive and the output you need. We can define the field checks and human handoff before choosing the tools. For connected customer document packs, use the related Business Document Automation article.
